DonorPerfect is a CRM
DonorPerfect is a donor database — it stores donor records, tracks gift history, manages pledge commitments, runs reporting, and integrates with online giving platforms. If you need to answer "who gave us $1,000+ in the last three years," DonorPerfect (or any donor CRM) is the tool. It is not a writing tool.
GiveTone writes the letters
GiveTone generates the donor communications themselves — appeals, thank-yous, impact reports, newsletters. It reads a segmented list from your CRM (or a simple spreadsheet if you don't have a CRM), merges it with an AI-generated letter template trained on your brand voice, and exports ready-to-send PDFs or mail-merge files. GiveTone is not a donor database. It has no record-keeping or reporting features.
How they work together
The common pattern is this: segment your donor list in DonorPerfect (or wherever your donors live), export the segment as a CSV, drop that CSV into GiveTone, generate the letter, and download the mail-merge output ready for your print house or email platform. Neither tool replaces the other. The seam where they meet is the CSV export.
If you're choosing between them, you're asking the wrong question
If you don't have a donor CRM, you don't need GiveTone yet — you need the CRM first. If you have a CRM and you're looking for something to generate the letters, that's GiveTone's slot. If you're a small nonprofit with fewer than 500 active donors, a Google Sheet is often a fine CRM substitute, and GiveTone reads Google Sheets natively.
